Practical handover guide

RV pickup and return photos: a usable comparison record

Plan repeatable pickup and return photos, label existing marks and keep a comparison record linked to one rental.

Build a comparison, not a camera-roll pile

Start with the rental and vehicle reference in your private record. Use the same sequence at pickup and return so a reviewer can find the matching view. Keep an overview and a closer view when a particular mark needs context. Work only from safe positions; this worksheet is not a vehicle safety inspection.

Label what you actually observe

A useful photo note says where an item is, which image shows it and whether it was already visible at pickup. Avoid conclusions the image cannot establish. Keep an unclear comparison marked for follow-up instead of guessing when a mark appeared.

  • Use a stable photo ID such as P03 and its return comparison R03.
  • Keep the original files in the appropriate private record system.
  • Review interior condition and included items as well as the exterior.
  • Check that the person reviewing the record can find both views.

Worked example: the same storage-hatch scratch

In this fictional example, P03 shows a scratch on the left storage hatch at pickup. R03 shows the same area at return. The note reads: existing scratch visible in both views; no new change recorded for this item. This observation does not determine a charge, liability or insurance outcome.

Use your booking platform’s required process

A separate checklist or app record does not replace required platform documentation. RVshare’s owner toolkit describes departure and return records and photo requirements. Check the current requirements for the service and trip you actually use, and submit through that service when required.
