Practical handover guide
RV mileage and fuel records: compare pickup with return
Use consistent units, timestamped readings and a worked mileage example before reviewing rental overages or fuel differences.

Keep the baseline and the ending reading together
Record the rental reference, handover date/time, starting odometer, fuel observation and any applicable generator reading. Include units and the method used. At return, record the same fields before comparing them. Keep agreed allowances and rates beside their source rather than reconstructing them from memory.
Worked example: distance is not an automatic charge
Fictional pickup odometer: 24,120 miles. Return: 24,460 miles. The observed distance is 340 miles. If the applicable agreement includes 400 miles for this trip, this example is 60 miles below that allowance. It does not justify an overage. Do not substitute a daily allowance for a trip allowance without checking the actual terms.
Fuel and generator records need a method
A gauge observation, receipt and measured quantity are different kinds of evidence. Label which one you have. Do not convert a gauge fraction into an exact monetary deduction without the agreed basis and reliable supporting information. Record generator hours only where relevant to this vehicle and rental.
- Keep miles and kilometres separate; correct a unit mismatch before calculation.
- Flag an ending reading lower than the starting reading for review.
- Distinguish an observation, an agreed rate and a payment status.
- Keep renter and payment details out of public examples.
Close the record with a named next step
If a difference needs review, assign an owner and due date in your private workflow. Preserve the original readings and any later correction. Complete required marketplace processes separately. The website worksheet records a task; it does not charge a renter or decide whether a fee is valid.
